Who we are

This policy explains how Velours Software handles personal information when you visit velourssoftware.com or get in touch with us. We decide how that information is used, which makes us responsible for it.

What it covers

This policy covers this website and the enquiries you send us.

When we build or support a system for a client, we handle the information inside it on that client's behalf, following their instructions and our agreement with them. That information is covered by the client's own privacy notice, not this one.

What we collect

When you visit the site

The site is hosted by Vercel and delivered through Cloudflare. To show you each page and keep the site secure, their servers receive the technical details every website receives: your IP address, your browser and device type, the page you asked for, the time of your visit and the page that sent you here.

If a page fails to load, your browser may send a short error report to Cloudflare to help diagnose network problems.

We don't use analytics, advertising or tracking of any kind. Our cookie policy has the details.

When you use the enquiry form

The form doesn't send anything to us. It prepares an email in your own email app, and nothing leaves your device unless you choose to send it. The company name you type appears on the preview beside the form, and isn't stored anywhere.

When you write to us

We receive your name, your email address and anything you choose to include, such as your company, your role and details about your business. Please don't send us sensitive personal information, such as health details. We don't need it.

If we work together

We keep contact and billing details for the people we deal with, along with our correspondence and records of the work.

How we use it

We use personal information to:

• reply to your enquiry and prepare any proposal you ask for;
• plan, deliver and support work we've agreed to do;
• keep the site working and protect it from abuse;
• keep the records the law requires, such as invoices and accounts.

We won't add you to a mailing list without your permission, and we don't make automated decisions about you.

Our legal basis

Where laws such as the UK GDPR or the EU GDPR apply, we rely on:

• legitimate interests, to reply to enquiries, run our business and keep the site secure, and only where your interests don't outweigh ours;
• contract, to take the steps you ask for before an agreement, such as preparing a proposal, and to carry that agreement out;
• legal obligation, to keep financial and tax records.

Who we share it with

We don't sell or rent personal information, and we don't share it with anyone for their own marketing. We share it only with:

• the providers who run our website and email, including Vercel for hosting and Cloudflare for delivery and security, who process it on our instructions;
• professional advisers, such as accountants and lawyers, when they need it to advise us;
• authorities, when the law requires it.

International transfers

Our providers may process information in other countries, including the United States. When information about people in the UK or the European Economic Area is transferred, it is protected by safeguards the law recognises, such as standard contractual clauses.

How long we keep it

• Enquiries that don't lead to work: up to two years after we last hear from you, in case you get back in touch. Then we delete them.
• Client records: for as long as we work together, and afterwards for as long as the law requires.
• Technical information about visits: kept by our hosting providers for a short time, for security and troubleshooting.

How we protect it

Information is encrypted in transit, and only the people who need it can see it. The providers we use are bound by contract to protect what they process for us.

Your rights

Depending on where you live, you can ask us to:

• give you a copy of the information we hold about you;
• correct it if it's wrong;
• delete it;
• limit how we use it, or stop using it;
• send it to you, or to another organisation, in a common format.

To do any of these, write to [email protected]. It's free, we'll reply within a month, and we may ask you to confirm who you are first.

If you're unhappy with how we've handled your information, please tell us so we can put it right. You can also complain to the data protection authority where you live or work, such as the Information Commissioner's Office in the UK.

Children

This site is for businesses. It isn't aimed at children, and we don't knowingly collect information about them.

Changes to this policy

If we change this policy, we'll update this page and the date at the top. If a change affects information you've already given us, we'll let you know directly.
